POSITION PURPOSE

The Distribution Assistant issues food boxes to participants during monthly Supplemental Food Program (SFP) distributions. This program provides supplemental groceries to eligible seniors.

9am to 1:00pm (possibly until 2:30pm) for 2 to 5 days a week

ESSENTIAL FUNCTIONS AND BASIC DUTIES


  • Issue food boxes to participants at distributions.

  • Provide excellent customer service to program participants.

  • Set up, maintain, and break down boxes in distribution area

  • Use material handling equipment (hand trucks, hand pallet jacks, etc.) in a safe manner to perform duties.

  • Assist dissatisfied participants.

  • Other duties as assigned

Job Summary:


Reporting to the Operations Manager, the Dispatcher is part of a small team responsible for scheduling product transport and coordinating closely with both drivers and customers. The Dispatcher maintains accurate scheduling information regarding both drivers and customers and stays up to date regarding issues including equipment status, driver availability, weather/road conditions, and evolving customer requirements. Effective communication and interpersonal skills are critical.


Although RHT Dispatchers do not solicit business/loads/backhauls; the role includes substantial administrative requirements and process support including building trips in the system and data input/analysis related to dispatch, customer billing, and driver payroll. RHT Dispatchers "own" their dispatch and resolve off-hour issues for Drivers and/or Customers, if problems arise.


Duties and Responsibilities:



  • Create the daily schedule, specific driver assignments, and required documentation for all assigned drivers and locations consistent with customer requirements and resources.

  • Complete required system input and process documentation; perform assigned administrative tasks including data input, reports, required billing and payroll support.

  • Ensure driver HOS logs and time/activity records are accurately recorded and compliant. Monitor driver work/off hours; schedule vacation, medical appointments, etc. as needed.

  • Provide drivers with all documentation, paper and/or electronic, for daily dispatch. Work with Location Managers and manage day to day work direction and guidance to drivers regarding policy, procedure, and practice.

  • Monitor driver activities and attendance accurately, electronically and on paper, as required for both compliance and pay purposes.

  • Coordinate daily with Maintenance regarding equipment scheduling, readiness, and issues.

  • Work with all concerned regarding actual or potential schedule variations or disruptions including those related to driver availability, breakdowns, traffic/road conditions, customer outage, etc.

  • Confirm completed trips on a daily basis; prepare and submit accurate and timely inputs related to equipment tracking, driver routing, customer supply levels, billing, payroll, etc.

  • Provide real time after hours support to drivers and/or customers including nights/weekends as required, and/or vacation/holiday coverage as scheduled.

  • Seek feedback from both drivers and customers; resolve concerns or relay appropriately.

  • Support driver orientation, and training; provide driver performance feedback to managers.

  • Provide input toward the continuous improvement of operations and processes.


Qualifications and Work Experience:


· High School graduate or GED required.


· Associate degree or college level coursework preferred.


· Minimum 3-5 years in Transport related roles including Dispatch; HAZMAT/tanker experience preferred.


· Minimum 2 years of management/supervisory experience.


· Knowledge of DOT, OSHA, and HAZMAT requirements and regulations.


· Computer skills; familiar with transport related software i.e. TMW Truckmate, PeopleNet.


· Class A CDL a plus.

The primary purpose of this position is to monitor and manage work queues for timely and accurate prioritization and assignment of labor tickets to Field Technicians while in accordance with client requirements and contractual SLA’s. This is achieved through balanced use of the Automated Routing System (ARS) and InsidEdge routing program combined with other reference material and the online Mobile GPS tool. Focus is on maximizing company profits through routing efficiency, including ensuring proper workflow into the ARS, and tech utilization balanced with vendor use.


 


Essential Functions


 


· Workload Monitoring/Routing includes utilizing the ARS in conjunction with InsidEdge to monitor for jobs in jeopardy, escalations and exceptions and ensure timely dispatch of tickets to meet client ETA/SLA requirements as well as departmental KPI’s & quality metrics. Providing timely notification, as outlined in standard work, of jobs in jeopardy and/or a need to reschedule work. Alerting management of excessive workload in a region


· Field Resource Monitoring includes monitoring tech availability (clock in, travel in jeopardy) via the ARS exception table and taking quick action to resolve any issues. Communicating potential resource shortages to Resource Allocation Manager and RFSM by presenting conflicts in meeting routing requirements and offering solutions and suggestions regarding resource allocation options that would aid in rectifying scheduling conflicts. Communicating to appropriate internal & external customers (as mandated) of all delays and/or job status changes


· Product Coordination includes managing all aspects of overnight shipment, tech to tech transfers, counter to counter of parts to meet SLA requirements and appropriate notification to internal and/or external customers (as mandated) of any jeopardy to the SLA


· Field Resource Support - phone availability of =>6.4 hours per day to provide continuous support to Field Service techs

Position Overview


The Dispatcher is responsible for the safe, efficient and profitable scheduling and dispatching of Motor Coach Drivers. Dispatch Coordinators are to supervise and report any drivers for not following company safety policies as well as those states under FMCSA 49 CFR.

Essential Job Functions



  • Coordinate and dispatch drivers as required by passenger flow

  • Assist field staff with coordination of routes

  • Manage driver compliance – housekeeping, daily inspection policies, time sheets, log books, etc.

  • Assist management to ensure transportation compliance and associated rules and regulations are being adhered to

  • Manage and communicate vehicle issues with the Maintenance shop

  • Maximize utilization of drivers and internal equipment

  • Coordinate and track location of units and Drivers utilizing GPS system

  • Communicate and record departure/arrival times to all runs to the corresponding terminals

  • Communicate weather conditions to all drivers

  • Coordinate alternate routes due to weather or traffic conditions

  • Assist drivers with unit breakdown and coordinate road service

  • Assist drivers with troubleshooting AOBRD

  • Assist with any other assigned duties


Education/Qualifications



  • High School Diploma/GED

  • Bilingual-Must be fluent in English and Spanish.

  • Knowledgeable of FMCSA Hours of Service for Passenger Carrier would be an asset.


Experience/Requirements



  • 2 years’ experience as a dispatcher in the transportation industry would be considered an asset

  • Must have excellent communication, organizational and interpersonal skills

  • Proficiency in Microsoft Office suite

  • Understanding of FMCSA regulations, OSHA, Local, State and Federal laws would be considered an asset.

  • Receive calls from customers
