Job Overview


The AR/AP Specialist work in collaboration with other team members to process all account receivable and payable on a day-to-day basis. As the AR/AP Specialist, you will handle and oversight all items related to vendor payments and customer collections. This includes but is not limited to customer/vendor relations, AR/AP reconciliations, and reporting for bank compliance. Outside of AR/AP, you may also assist with various analytical assignments and bookkeeping work. There is plenty of room for growth. We are looking for someone who would like to work and grow with our company long-term. 


Key Duties and Responsibilities



  • Review customer orders, generate and process sales orders and invoices

  • Track and manage all documentations relating to the AR process i.e. POs, PODs, Sales

  • Order, Invoice, Bill of Ladings

  • Post customer collections and payments

  • Manage AR lending requirements with banks

  • AR and AP reconciliation

  • Review, post and account for payables and bills

  • Recording cash/checks/credit card transactions

  • Preparing and sending billings/invoices as necessary

  • Maintaining a daily sales log to track PO processing integrity

  • Handling all vendor correspondence via phone/email

  • Preparing monthly status reports, monthly closing

  • Reconciling accounts and identifying errors in postings

  • Verifying validity of account discrepancies by obtaining and investigating information from necessary sources

  • Assisting with the collection of overdue accounts according to established procedures

  • Assist with month-end reconciliation and close

Required Skills and Qualifications



  • Bachelor in accounting or similar studies

  • 2+ year experience in accounting or similar position

  • QuickBooks Enterprise

  • GAAP

  • Excellent written and verbal communication skills

  • Proficiency with MS Office Suite, especially MS Excel

  • Effective organization and time management skills

  • Ability to work under pressure and adhere to deadlines

Chronicle Books is looking for a Metadata Specialist to join our Operations/Inventory team. This role is responsible for reviewing and maintaining title metadata across Chronicle Books’ various software applications. The Specialist will ensure title metadata is consistent with a focus on one database source feeding all other software applications for every key title data element.


In this role, you will work with distribution partners and clients, handling metadata issues and coordinating file uploads. You will also review titles for contractual restrictions and missing data as well as ensuring consistency in titles and naming conventions. Confirmation of database accuracy, monitoring of import tagging, and reviewing titles for approved conversion will also be central to this job.


We seek a personable, detail-focused, Excel expert with 1-2 years in an equivalent role with prior database and data process management experience. Someone with basic knowledge of HTML is preferred and prior book/digital publishing experience is ideal. This position provides quality control for a large number of titles and the person in this role must demonstrate the ability to identify data inconsistencies and find solutions to address them. In addition, we need someone who is an effective communicator at all levels of the organization. If you are both diligent in database management and have a love of process coordination, you could be the next member of our team!

Norfolk office of an International Shipping company in immediate need of export specialists.


RESPONSIBILITIES;



  • Make new Bookings and modify existing bookings as per customer’s request

  • Research, follow-up and resolve customer problems

  • Communicate and follow-up with customers, overseas agents and internal departments

  • Conduct “root cause” analysis to find out what caused customer’s problem

  • Reduce service failures and costs providing accurate information



  • Provide information to customer related to sailing schedules, equipment availability, routing, rates, etc

  • Rate bookings using information provided by customers as well as utilizing our rate retrieval systems.

  • Assist customers with contract rates and tariff rule questions


Requirements:



  • High level of analytical and problem solving abilities.

  • Excellent communication skills. (Verbal and written)

  • Excellent phone etiquette and proven customer service abilities.

  • Proficient computer skills to include basic Microsoft applications (Excel, Outlook, Word)

  • College degree preferred.

  • Knowledge of world geography is preferred.
