Position Overview

The Staff Accountant- Payroll & A/P is responsible for processing disbursements of operating expenses. The Staff Accountant is also responsible for maintaining the payroll system, processing bi-weekly payrolls, and performing other payroll related duties.

Primary Duties and Responsibilities

• Process and transmit payroll biweekly; process mid-cycle payroll adjustments, holiday, wellness and referral bonuses, and final paychecks. Produce routine and specialized payroll reports as requested.

• Process and transmit employee and employer contributions to retirement plan provider biweekly.

• Prepare workers’ compensation monthly invoice calculations and employee union dues

• Match, code, and enter invoices into accounts payable system. Prepare batch reports and review for errors prior to submitting to supervisor

• Ensure that all invoices have proper supportive backup documents as required by internal fiscal policies and procedures.

• Responsible for matching general ledger account, program code, funding source, and department code in general ledger.

• Process payments, maintain statements, conduct weekly check runs to ensure timely and accurate payments and prepare checks for signature.

• Audit and process credit card statements and employee expense reimbursements.

• Communicate with vendors regarding account issues, research unpaid invoices, and resolve and investigate invoice disputes/discrepancies.

• Communicate with program directors and staff who handle purchases to request vendor invoices, packing slips, and other related supporting document.

• Maintain several petty cash disbursements and perform reconciliations and audit.

• Responsible for ongoing knowledge and understanding of agency wide budget and cost allocation plan.

• Ensure fiscal adherence to contracts and grants

• Maintain accounts payable files and records.

• Maintain 1099 files and year-end 1099 form preparation.

• Prepare journal entries and assist in month end closing

• Prepare weekly/monthly accounts payable reports.

• Manage petty cash for the Administrative office.

• Assist with other projects as needed.

Qualifications, Skills and Abilities

• Bachelor’s Degree in accounting, business administration, or related field and/or minimum two years’ experience in accounting/and or finance preferably in the non-profit sector.

• Experience in payroll software preferably in ADP.

• Experience in processing credit card expense report software

• Solid written and verbal communication skills.

• Ability to pay attention to detail and maintain confidentiality

• Strong interpersonal skills and commitment to work with a diverse staff are essential to perform the position duties.

• Proficient in Microsoft Office (Word, Outlook, Excel, etc.).

• Essential functions of the position may require use of a telephone, working at a standard computer terminal.

• The ability to follow reasonable ergonomic recommendations, sit for long periods, stand, reach, bend, lift and carry up to 20 pounds.

• Criminal background check, fingerprint imaging, and tuberculosis (TB) clearance required post-offer.

RESPONSIBILITIES & DUTIES


As the Tax Accountant, you will be asked to perform jobs that include but are not limited to the following:



  • Assist in the timely and accurate preparation for individuals, partnerships, LLC’s, corporations, s-corporations, trusts and nonprofit organizations

  • Handle routine client questions, and work with clients to obtain necessary information for financials and tax return completion

  • Prepares and posts adjusting/closing journal entries to the books

  • Preparation and analysis of Sales & Use Tax Returns

  • Tax planning and research

  • Analyze and respond to tax authority notices

  • Respond to inquiries from the Accounting Manager

  • Work on special projects as assigned by Accounting Manager


MINIMUM REQUIREMENTS



  • Technical Skills and Prior Experience

  • Prior experience with preparation of Individual Tax returns is a must.

  • BA/BS in Business with an emphasis in Accounting (MS Preferred)

  • Proficiency in Microsoft Office Suite: Word, Excel and Outlook

  • Prior experience with software beneficial: Lacerte, QuickBooks, ProSystem Fx Engagement

  • Must be PC proficient/tech savy and able to thrive in a multi-functional environment.

  • Excellent organizational skills and attention to detail

  • Good written and verbal communication skills

  • Ability to multi-task, manage time efficiently, work well under pressure and meet necessary deadlines as assigned

Accounting Principals is looking to fill a Accounts Payable Accountant job opportunity for this growing East Bay company located in Emeryville, CA. The right candidate should have at least 5 years of full cycle Accounts Payable experience comfortable handling a volume of 300 to 400 invoices a month.  The candidate will report to the Assistant Controller and manage all the accounts payable processing, general accounting close transactions, and vendor management. 


 


Responsibilities include:


- Processing all vendor invoices following corporate protocols getting proper approvals when required


- Upload invoices, accrue bills to the proper period, and code to the correct account


- Prepare and process journal entries, reconciliation of various general ledger accounts, and account analysis


- Maintain and reconcile balance sheet and profit and loss accounts as assigned


- Build and maintain customer relationships and resolve any discrepancies


- Manage the entire credit card reconciliation process


- Assist accounting department on adhoc projects


 


Qualifications include:


- Software experience with Netsuite and Bill.com required. Expensify experience would be a plus


- Solid knowledge of accounting, strong with reconciliations, and knowing your general accounting debits and credits (prepaids & accruals)


- Attention to detail, problem-solver, analytical, and organized


- Strong communications both written and verbal  


- Comfortable with Microsoft Office (Excel, Word & Outlook)


- Associates or Bachelor’s Degree would be a BIG plus

Responsibilities



  • Collaborate with a team of four experienced financial professionals accounting professionals comprised of a CFO, Controller, Accounting Manager, and Staff Accountant

  • Master the TGG Way for processing, reconciling, and transacting day-to-day accounting

  • Manage Staff Accountants through teaching, training, and ongoing supervision

  • Mentor and build positive relationships with the client, co-workers, and the client’s staff and customers.

  • Closely monitor project plans and work with Controllers and Staff to insure quality work, communication and timely financial statement delivery.

  • Communicate and teach general accounting concepts to clients and staff

  • Bank and credit card reconciliation review

  • Prepare sales tax and personal property tax return filings

  • Set up and process payroll


Qualifications



  • Bachelor’s degree from four-year college or university is preferred (relevant industry and training experience will also be considered)

  • Minimum of 3 years accounting experience required

  • Management experience required

  • Proficiency using Microsoft Office suite and High Proficiency in Excel skills required (e.g. sumIF, pivot tables, vlookups, etc.) is required

  • Experience with Quickbooks or other accounting software is a plus

  • Ability to work in a consulting type environment with multiple clients and staff teams – ability to start and stop on work multiple times throughout the day

  • Strong critical thinking and problem-solving skills

  • Organized, team player who is considerate and able to work well with others and enjoys client interaction

  • Sense of urgency with the ability to meet monthly financial deadlines in preparation of financial reports and statements

  • Excellent written and verbal communication skills

  • Self-motivated and ability to work independently with minimal supervision, ability to manage multiple priorities and deadlines

Seeking a Contract Accounts Payable/Payroll Specialist to join our growing Accounting team. The right candidate will possess high attention to detail and the ability to interact with all levels of staff and management. This position is located at the corporate headquarters in Germantown, Tn. The Accounts Payable/Payroll Specialist will report directly into the Accounts Payable l Manager.


 


Essential Job Duties:


• Processes and codes invoices daily and ensures correct coding and proper authorization before payment is made
• Performs check runs, wires and ACH payments. Validates that the checks used are sequential.
• Assists in in the daily and monthly reconciliation of Accounts Payable
• Prepares wire transfers for inter-company payments funding and external transactions in a timely manner
• Supports cash management initiatives including process documentation, refinement and automation. Supports bank account administration activities
• Researches and documents cash posting transaction issues and discrepancies
• Performs payment reversals, rejects and returns as requested
• Reviews payment activity daily for anomalies and ensures customer accounts are correct
• Tracks unidentified payments, payment processor issues, and manual processing
• Responds to vendor inquiries on status of payment and deposits
• May support/assist with payroll processing duties
• Performs other job-related duties and projects as needed


Minimum Qualifications:


• 2-4 years of Accounts Payable and Accounts Receivable experience
• Working knowledge of disbursement functions related to checks, wires and ACH
• Proficiency in Microsoft Office suite


Preferred Qualifications:


•Alphanumeric and 10-key skills- at least 7000-7500 keystroke


General Accounting office experience preferred
