Job Description

Operations Manager At Belvedere-Hawthorne Nursery Schools, Inc. our mission is to provide children with a nurturing environment and to instill a love of learning within our developmental play-based curriculum.  Our program fosters creativity, stimulates the imagination, creates an inner sense of trust and autonomy, and develops intellectual, physical and social skills.  The emphasis is on developing a child’s self-esteem and empowering them in independent decision-making.  We provide hands-on experiences that engage in problem solving and enhance acquisition of cognitive and linguistic skills within a developmental play-based curriculum.The Operations Manager is a part time position (approx. 20-30 hours/wk, depending on month) which reports to the BHNS Board President.  This person must have the ability to demonstrate leadership and management skills as well as effective communication with the board of directors, staff, parents and community.  The OM must be an effective in administration, business human resources and assisting with the financial operations of the school.  This position entails working in both a preschool environment and from a home office. 

POSITION REQUIREMENTS-  Bachelor’s degree in business administration or related field.  Three+ years experience in related field.  Knowledge of school operations desirable.  -  Strong communication skills, written and verbal and excellent interpersonal skills.-  Computer proficiency with a strong knowledge of Excel, Word, Google Forms, Pages, QuickBooks, Paychex, Salesforce and Bill.com.-  Ability to work with outside bookkeeper, payroll firm, cpa and insurance broker.  -  Interface with parents and prospective families.-  Flexible team player willing to take initiative in a fast-paced work environment.-  Ability to multi-task with consistency in accuracy and timeliness-  Able to perform under pressure.  -  Detail oriented, positive attitude, self-motivated, team player.-  Ability to carry up to 30 pounds short distances. 

MAJOR RESPONSIBILITIES-  Attend monthly executive board of director meetings as well as periodic general board meetings.  -  Interpret board of director information and policies for staff.-  Maintain Paychex online database. Process tax withholdings, new salaries, raises and benefits and process bi-monthly payroll.  -  Maintain, renew and bid out multiple insurance policies for both schools. -  Manage CA Choice health benefit plan and Paychex 401k plan.    -  Work with cpa throughout the school year and at year end for tax preparations.  -  Assist board president and board treasurer with updates to the annual employee and parent handbooks. -  Responsible for maintaining and updating banking relationships for the school.  -  Work closely with bookkeeper, review monthly tuition billing, process accounts payable, maintain shared dropbox and provide credit cards, petty cash and bank statements.  -  Maintain accounts receivable and communicate with parents to clear outstanding balances.  -  Prepare all school communications as prescribed by the board of directors and school directors.-  Create and maintain annual online registration forms and flyers and correspondence to new and prospective families.  -  Work closely with vp of fundraising to maintain record of annual giving, corporate matches, sign up parties, spirit wear sales, sign up parties and annual spring fundraiser.  -  Prepare tax donation thank you letters for school families and outside donors. -  Manage online recruiting, setting up interviews, checking references and hiring of school staff. -  Maintain all certifications, renewals and job descriptions.-  Prepare letters of intent for employment and all staff and teacher contracts for the regular school year and summer school.  -  Process financial aid applications and present to the board, while maintaining strict confidentiality. -  Maintain enrollment numbers for all classes and provide reports to the board of directors.  -  Coordinate in-service training with school directors.  Arrange for teacher education programs and overnight accommodations, if applicable. -  Participate in lease negotiations with the CCC.-  Attend conferences and meetings pertinent to the welfare of BHNS, including Town of Tiburon and City of Belvedere issues.  Participate in decisions regarding improvements made to owned and leased property. -  Keep informed of the school’s legal responsibilities and liabilities.-  Perform extra duties, reports, and provide necessary information for the treasurer or president to perform annual budgets.  -  Coordinate teacher appreciation lunches and bonus gifts.  Assist evp with parent education events and speakers.  Maintain eventbrites, and facilitate outside rental spaces for events.  -  Maintain and keep records pertaining to the long-term operations of the schools.  -  Order office, printing, copier, cleaning and food supplies for both schools.  Research and purchase school computers, copiers, printers, as needed.

Our Story

The Belvedere Nursery School, Inc. has the distinction of being the oldest nursery school in southern Marin County. It was originally started in 1939 as a WPA Project during the New Deal Administration. The parents assumed control of the school in 1944 and conducted an intensive building fund drive. The present site on Cove Road Place was purchased in 1950 as a result of strenuous fundraising and generous contributions. Our present building was built at that time, but as only one room. Subsequent additions were made at five-year intervals on the corporation's own credit.
The fine programs offered at the Belvedere-Hawthorne Nursery Schools ("BHNS") are the result of well-guided development over many years. Hundreds of active and interested parents have worked hard for over two generations to create our exceptional nursery schools. Our splendid reputation is well known throughout Marin County.
