Gurnick Academy of Medical Arts is a leading Bay Area private healthcare college offering an extensive variety of nursing and allied healthcare programs such as: Vocational Nurse, Psychiatric Technician and Bachelor of Science in Nursing (RN to BSN pathway) as well as Nursing Assistant, Medical Assistant, Dental Assistant and Phlebotomy Technician and healthcare programs: Associate of Science in Physical Therapist Assistant, Ultrasound Technology, MRI, Radiologic Technology, and Bachelor of Science in Diagnostic Medical Imaging.
We are currently seeking an Admissions Assistant for our Sacramento Campus.
The Admissions Assistant supports the Admissions Manager administratively and actively in the admissions process during peak periods of enrollment. The assistant will aid in reviewing and confirming applicant requirements and background information provided. In addition to supporting the admissions activities, the admissions assistant will also be expected to complete other filing and administrative tasks as assigned for the campus and RT department. The Admissions Assistant will ultimately require the knowledge of each program at their campus to best support the campus answer potential student questions.
Essential Job Duties and Responsibilities
Prepare packets (for MRI, UT, RT, MA) – Photocopy program info, requirements, fees, disclosures, immunizations for each program.
Verify credit granting by obtaining appropriate documentation and submitting documents to Program Director/Coordinator for approval
Ensure Campus Director signs enrollment agreements as directed by the Admissions Director
Create student folders and put all necessary documents in folder, make file labels, and input onto the "Enrolled List"
Call all enrolled students to verify if they will still be attending pre-requisites and core program (inform Admissions Advisor and Director if anyone is dropping to replace the candidate if possible)
Receive calls from people interested in Gurnick programs and inform them of minimum entrance requirements for the program
Enter everyone who inquiries about the program and as much information about their current situation into the CRM for parallel path activities
Proctor and scoring of entrance exams (not to interpret or deliver results – Admissions Advisor is responsible for this)
Order office supplies for campus which will be approved by Campus Administrative Manager or Campus Director
Maintain student break room supplies and coffee
Check out library materials in the library log
Receive payments from students and provide receipts – give to Campus Director / Campus Administrative Manager
Direct students to SSC or Registrar for transcript requests or other programmatic forms, etc.
Copy all certificates, diplomas, etc. Submitted by prospective students for the FAA or AA if they are not available to receive directly
Update GE after entrance exam appointments have been met and call to reschedule any missed appointments. This includes the management of callbacks to prospective students to schedule / reschedule appointments
Prepare and participate in Campus Staff meetings as directed by the Campus Director
Associate Degree, bachelor’s degree Preferred
Experience working within an academic admissions environment
Recruitment, interviewing and selection skills and experience
Experience working with an applicant tracking system
Strong interpersonal skills developed within a counseling and advisory capacity
Excellent time management, detail-orientation and team player skills.
